WHAT YOU'LL DO
The Executive Assistant II identifies and addresses needs of senior leadership and performs administrative tasks, ensuring workflows run smoothly. The position provides Service Excellence through the execution of specialized and administrative functions, including maintaining the executive's calendar, preparing agendas or presentations and preparing and submitting expense reports on behalf of the executive, all while maintaining confidentiality of sensitive information.
Additional Duties:
- Answer phones and route calls providing general information to clients and referring questions and issues to appropriate staff or department for further information and problem resolution
- Proactively maintain calendar for senior leadership, including daily scheduling and routine travel arrangements
- Create internal/external correspondence using Outlook and Microsoft Office products (Excel, PowerPoint, Word, etc.) as well as create correspondence and/or log activities in client management system
- Assist teammates; cover other duties during vacations
- Schedule and set-up internal meetings/conference calls/catering as required; independently manage event/meeting logistics and contracts (e.g., room rental, materials prep, dress code, food, etc.), including after hours executive and community events.
- May act as liaison for office facilities and maintenance issues
- May act as liaison for vendors and ensure payment of office-related invoices
- Order and maintain office supplies and marketing materials
- Complete/lead ad-hoc reporting and projects as assigned
- Complete leadership expense reports
- Coordinate and communicate meetings for internal/external customers in multiple locations, executing independent decision making to schedule or accept meetings on behalf of the leader/executive
- Attend meetings on behalf of the executive
WHAT YOU'LL BRING
Knowledge of:
- Strong oral and written communication skills
- Adept in technology; Microsoft Office Suite, Outlook, Ultimate Software, Chrome River, Synapsys, etc.
Ability to:
- Anticipate needs
- Apply time management skills and identify resources in all areas of the bank
- Use keen judgement and discretion
- Multi-task and work independently
- Perform duties and make decisions under frequent time pressures
EDUCATION AND TRAINING
- Requires an associate's degree, bachelor's degree preferred
- 2-3 years of experience supporting senior leadership
- Requires intermediate (or above) knowledge of Microsoft Office.
