The Executive Assistant to the Senior Executive team will provide direct coordination and project management support to the CEO and the Senior Executive team. This position is responsible for ensuring effective use of an executive's time and productive interactions with associates and clients. Handles a wide range of administrative tasks and independently initiates and implements processes to manage projects, information, and people. Additionally, this role may manage event coordination, travel scheduling, presentations, and board package development.
The Executive Assistant may interface with both internal and external clients and outside parties and vendors, and will work under limited guidance, due to previous experience and depth of knowledge of administrative processes. The Executive Assistant will independently exercise discretion and independent judgment and should be capable of analyzing information requests and determining trends. Additionally, the Executive Assistant will proactively identify opportunities to create greater efficiencies by utilizing technology and/or updating processes.
ESSENTIAL RESPONSIBILITIES
Manage preparation and facilitation of materials on behalf of executives including but not limited to projects, travel, associate experience and care events, Board of Director communications, internal and external general communications
Complete a broad variety of administrative tasks including managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes complex and/or confidential; arranging travel plans, itineraries and agendas within budget; and compiling documents for travel-related meetings
Manage phone calls, email, and other communications - respond promptly to all queries
Plan, coordinate and ensure the executives schedule is followed and respected
Organize, prioritize, and communicate critical issues and required information in efficient and rationale decision-making and time management
Complete other duties and projects as assigned by Senior Executive team
ESSENTIAL SKILLS, EDUCATION AND EXPERIENCE
Must be able to maintain confidentiality at all times with the utmost adherence to quality and ethics
Excellent MS Office skills with ability to quickly learn new programs : excel, PowerPoint, Word, Canva
Previous experience as support to the CEO or other senior level executive is preferred
Strong project management skills with ability to take a project from inception to completion with a high level of quality and attention to detail
Previous event coordination experience preferred
High school diploma required and bachelor’s degree in a business, marketing, communications is preferable
Excellent oral and written communication skills
Strong interpersonal, organizational, analytical, presentation, and critical thinking skills
Ability to adjust to change and a willingness to be a team player
Maintain regular consistent and professional attendance, punctuality, appearance
WORK CONDITIONS
Needs to be able to work independently and in a team setting to research and respond to routine and in-depth regulatory inquiries
Able to sit in front of a computer for extended periods of time
Minimal local travel may be required
