POSITION SUMMARY
The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the OBL President and Chief Executive Officer. The Executive Assistant also serves as primary contact to the OBL Board as well as the OBL BankServices Board of Directors for all logistics, preparation and execution of board meetings and communications throughout the year.
The successful candidate will be a highly resourceful, flexible, innovative, and enthusiastic individual who possesses a considerable amount of expertise in administrative and office procedures. He/she must exercise good judgment in a variety of situations, with strong written and verbal communication skills, administrative and organizational skills, as well as the ability to maintain a realistic balance among multiple priorities. The individual must be able to work independently on projects, from conception to completion, and must be able to handle confidential matters with discretion. Being a well-organized team player is critical.
ESSENTIAL FUNCTIONS
- Provide administrative support to the CEO including scheduling, document tracking, meeting planning, travel arrangements, receipt tracking, credit card reconciliation, meeting follow-up, contact tracking, central filing, and email support.
- Maintain multiple organizations’ board records, as well as other key lists, in the OBL database and manage term limits as necessary.
- Work with the OBL Director of Communications and other members of the senior management team to compile monthly board reports and materials for quarterly board meetings.
- Manage the OBL online board portal including user access and file management.
- Manage logistics for OBL and OBLBS board meetings, including communication, attendance tracking, packet preparation, meeting room logistics, catering, and minutes.
- Compile and prepare board manuals for new directors.
- Coordinate all elements of the annual OBL Board holiday dinner.
- Assist in the coordination of regular staff meetings, staff outings, and management strategic planning sessions.
- Schedule, manage, document, and track the CEO’s annual bank visitation program.
- Maintain rosters and coordinate regular calls and meetings for OBL Advisory Groups.
- Maintain a welcoming, clean and professional front office space for guests and events.
- Assist with facility-related items, including office equipment, as needed or requested.
- Maintain OBL office supplies inventory, placing orders as needed or requested.
- Provide telephone support for general calls, receive on-site deliveries, and greet guests as needed.
- Provide back-up support for OBL event registration in the database as needed.
- Provide on-site event registration support as needed.

QUALIFICATIONS
- Demonstrated understanding of the executive administration function with three to five years of relevant experience (association and/or banking industry experience a plus)
- Proficiency with MS Office365 applications (including Office, Word, PowerPoint, and Excel)
- Familiarity of CRM systems and data management
- Type at least 60+ WPM

CONDITIONS
May need to lift, push, or pull furniture or equipment up to 20lbs. (10-15% of time)
Spends 50-75% of time (standing or sitting) at a desk.
No travel required outside of central Ohio.
