The teammate assists with administrative, coordinative, and/or facilitative support for various human resources processes, programs, and initiatives. In performing job duties, the teammate is responsible for ensuring compliance with internal policy and applicable laws and regulations, as well as completing work consistent with the Bank’s Culture of Excellence.
Essential Functions:
- Manages a range of administrative processes related to employee lifecycle events; tasks may include paperwork, data management, and coordination of administrative details; will handle sensitive information with a high level of professionalism
- Assist recruiting activities by posting open positions to various job boards, timely monitor and respond to applicants; facilitate the background check process by initiating, closely monitoring, and communicating the results for approval
- Assist training initiatives by managing registration, coordinating logistics, maintaining attendance tracking, managing survey feedback and analytics, facilitating compliance modules and annual orientation program execution, and addressing basic Cornerstone user queries
- Support for payroll and benefit administration, including but not limited to developing and maintaining reports within ADP, reviewing, and approving payroll batches during peak processing times, tracking benefit enrollment changes, assisting with benefit benchmarking and research, assisting with various compliance processes, and other projects as assigned
- Facilitates the new hire administration process, which includes contacting the new hire and preparing and sending new hire documents for electronic signature
- Creates employee communication material for new employees, promotions, and transfers
- Enters, updates and/or maintains data in the payroll/HR database, ensuring both the accuracy of the information and the timeliness of any updates
- Responds to questions and inquiries from staff, providing timely, courteous customer service on a consistent basis; may be required to communicate in person, by phone and/or via email
- Oversees the department’s imaging processes, ensuring timeliness and accuracy in scanning and electronic file maintenance
- Responsible for the administration of building access cards and associated photos; monitors the loaner access card process with building facility personnel
- Assists with maintenance of employee data within emergency notification system
- Prepares and maintains accurate documentation for Human Resources compliance-related activities, and may assist in the preparation of regulatory
- Manages monthly passes with select garages and serves as a point of contact when issues surface; also reconciles monthly parking garage invoices in advance of processing invoices for payment
- Performs general office functions including but not limited to: filing, distribution of mail, ordering office supplies, and preparation of letters
- May provide critical back-up for certain administrative functions performed by other HR Staff
Qualifications
- Completion of high school or equivalent; some post high school business education or training is preferred
- Verifiable administrative skills, typically gained through two or more years of administrative work experience or through a combination of work experience, education, and/or volunteer service
- Exposure to or foundational knowledge of HR laws, administrative processes, and databases is a plus
- Proven interpersonal and customer service skills, as demonstrated by the ability to effectively interact with diverse individuals possessing different communication styles, while also exhibiting a high degree of professionalism and reliable follow-through on commitments

- Demonstrated ability to multi-task in a fast-paced environment, with the proven ability to prioritize, organize, and effectively process high volumes of detailed information fully and accurately within established timelines
