Description

Summary


This position assists the President/CEO as well as the Leadership Team with daily administrative duties and completes a broad variety of administrative tasks.


Responsibilities

  • Performs a variety of administrative tasks that include; completing expense reports; composing and preparing correspondence; itineraries and agendas and compiling documents for meetings; answering or directing inquiries.
  • Prepares the monthly business brief for the Board of Directors meetings.
  • Prepares weekly company sales and leadership meeting documents
  • Project coordinate details. Stakeholder will assign to you and will need to trust you will actively drive to resolution from start to finish.
  • Write correspondence and other communications.
  • Maintain contacts and manage renewal memberships, maintenance etc.
  • Ordering of equipment and supplies
  • Prepares reports for quarterly & annual offsite leadership meetings
  • Aggregates company performance metrics & reports
  • Keeps track of CEO schedule
  • Books meetings & travel for the CEO & leadership team
  • Monitors emails for action items
  • Answers calls for leadership team and when needed the company
  • Keeps track of Company Policies that need to be updated each year for audit purposes and send to appropriate person.
  • Take memos. Maintain files, and organize, photocopy, fax, and collate documents as needed for the CEO and leadership team.
  • Performs additional duties as assigned.
Requirements

Skills/Experience/Education

  • High School diploma or equivalent is required.Prior assistant or other business experience
  • Positive attitude, friendly & kind
  • College course work or degree preferred
  • Professional appearance
  • Excellent telephone skills
  • Excellent customer service skills
  • Ability to prioritize and handle multiple tasks
  • MS Office (Word, Excel, Outlook)
  • Ability to operate office equipment (including but not limited to fax, scanner, copier, shredder, 10-key calculator)
  • Ability to interact professionally with clients and co-workers.
  • Good team player

Essential Mental & Physical Requirements

  • Ability to travel if required to perform the essential job functions.
  • Ability to work under stress and meet deadlines.
  • Ability to read and interpret a document if required to perform the essential job functions.
  • Prolonged periods of sitting at a desk and working on a computer may be required.
  • Ability to lift/move/carry approximately 15 pounds if required to perform the essential job functions. If the employee is unable to lift/move/carry this weight and can be accommodated without causing the department/division any "undue hardship" then the employee must be accommodated; hence omitting lifting/moving/carrying as a physical requirement.
